Associate Director of Quest Programs, Student Experience

Collegiate School seeks an energetic and experienced Associate Director of Quest Programs, Student Experience. The Associate Director is responsible for the majority of administrative duties with aspirations for future growth. New ideas and a visionary perspective as well as Initiative and proactivity is a must. A positive, can-do attitude is expected.  This person should have experience planning programming and supervising staff members.  Additionally, this person will work closely with the Director of Auxiliary Services and Director Quest Programs to plan for all Quest entities. This is a full-time benefitted12-month position.
General Responsibilities include:
  • Learn from and grow under the Director of Quest enrichment programs demonstrating aspirations for future lead responsibilities.
  • Take initiative to formulate and recommend new programs, ideas.
  • Actively evaluate daily staffing and recommend changes/shifts to the Director. 
  • Initiate, update and handle all registration. This includes registration packet, admission pieces and distribution.
  • Accurately and in a timely manner, generate all monthly billing.
  • Handle staff payroll
  • Collaborate with staff to formulate working schedules for Quest.
  • Plan and participate in Quest staff training.
  • Supervise purchasing and credit card reconciliation
  • Accurately manage the details of Quest field trips including vendor interaction, contracts and transportation.
  • Work with the Director to develop calendars for all facets of Quest programs, updating throughout the year as needed.
  • Proactively serve as lead for the update of websites, PawNet, etc. and collaborate with fellow associate directors to develop new content.  ensure fellow ADs are also trained on these communication vehicles.
  • Exhibit at all times, a professional demeanor with parents, vendors, staff, faculty and administration as well as actively participating in the Collegiate community.
  • Support Director and work closely/collaborate with fellow Associate Directors
  • As a member of the Finance and Operations Division, assist with various duties as needed.
 
Activity Quest
  • Plan, implement and supervise the Activity Quest program including identifying new programs, opportunities and vendors. Hire all required staff in a timely and efficient manner.
  • Formulate relationships with faculty and staff resulting in program development.
 
Summer Quest (Cougar/Kinder Quest Portion) 
  • Serve as the after-school care Associate Director lead for Quest during the summer planning months of September-December this allowing other ADs to focus on summer.
  • Proactively plan age appropriate weekly programs and activities for the Cougar Club sessions.
  • Manage the before and after camp programs including space allocation and staffing.
  • Schedule key meetings with faculty and staff.
  • Lead and manage the lunch bunch program

  • College diploma preferred.
  • A minimum of 2 years working experience in the field of childcare
  • Extremely high level of confidentiality and professionalism
  • Excellent writing, organizational and interpersonal skills
  • Ability to maintain accurate records with attention to detail
  • Ability to work independently and as part of a team
  • Experience with Windows computerized billing systems and Microsoft Office 
  • A positive personality and an adaptable, flexible approach
  • Ability to be resourceful, solve problems, and plan strategically
  • Proven cross cultural competency skills demonstrating self-awareness, awareness of others and the ability to adopt inclusive perspectives, attitudes and behaviors to drive inclusion and belonging in the ongoing development and maintenance of an inclusive campus community.
  • Proficiently uses Microsoft Excel and Google Sheets
  • Train in CampBrain software as well as other web based programs.
  • Authors documentation on system-related processes
  • JK-12 school experience preferred
  • Ability to interact with children in athletic activities
  • Ability to drive a minibus
  • Ability to work at a computer for several hours at a time
  • Ability to lift 40 lbs.
