Update on COVID-19 Practices for 2021-22

Dear Collegiate Families,

We eagerly anticipate the start of our school year and rejoining as One Collegiate. As we prioritize community health and timely communication, we write to share Collegiate’s plans for daily operations during COVID-19. The Virginia Department of Health recently issued updated guidance for schools. We continue our consultation with our medical advisors, Dr. Bo Vaughan ’97 and Dr. Carolyn Port, who are parents in our community, as well as with local, regional and national partners. We are deeply thankful for their continued support and wise counsel.

Our goal is to offer a healthy and robust program with a full array of in-person experiences for all of our Cougars. We continue to balance the educational and emotional needs of our students, faculty and staff.

We seek your help as we remain fluid and aware of changing conditions and guidance. Above all, we hope to manage student and community expectations about the coming school year with empathy.

Below we have outlined the policies and protocols we intend to implement at the start of the academic year. Please keep in mind that we will continue to monitor and responsively adjust our mitigations as deemed appropriate with the aforementioned guidance and the needs of our community. We may have to adopt more strict guidance on mask wearing if local transmission continues to rise. The cooperation from you, your children and my colleagues allows us to thrive as a community. I thank you for your continued partnership.

Masking/Face Coverings
  • Students in Grades JK-6 are expected to wear face coverings while indoors regardless of vaccination status, and they may remove their face coverings outdoors.
  • Unvaccinated students in Grades 7-12 are expected to wear a face covering while indoors, and they may remove their face coverings outdoors.
  • Fully vaccinated students in Grades 7-12 are not required to wear face coverings while indoors, with the exception of limited gatherings as outlined below. As a reminder, full vaccination status begins two weeks after the final dose.
  • We support students and adults who wear face coverings on campus, both indoors and outdoors.
  • Face coverings are not required for any community members when outdoors.
  • Faculty and staff who are unvaccinated are expected to wear face coverings when indoors.
  • Faculty and staff who are fully vaccinated are not required to wear a face covering when indoors and socially distanced.
  • All community members, regardless of vaccine status, will be expected to wear a face covering in certain indoor gatherings and spaces such as lunch lines, buses and large group assemblies. For this reason, everyone should carry a face covering to School.
  • The School will provide a face covering and mask lanyard to every student at the start of school and disposable masks will be available throughout campus. The School will also provide students in Grades JK-6 with two reusable face coverings.
  • Parents and students are responsible for ensuring students’ adherence to the School’s masking requirements.
Vaccination Status
  • Consistent with state guidance, understanding students’ vaccination status is essential to assessing community transmission. It may also impact whether students are required to quarantine in the event of exposure. Therefore, the School is requesting that families of students who have received a COVID-19 vaccine provide the School with proof of such vaccination by uploading their child(ren)’s COVID-19 Vaccine Record Card and/or complete immunization record including COVID-19 to the Magnus Health SMR account. To do so, please sign in to PawNet through Collegiate’s website. After logging in, you can access Magnus by clicking on the resource board icon titled “Magnus Health.” **Please note: If the School does not receive a COVID-19 Vaccine Record via the Magnus system, we will assume that your child(ren) has not been vaccinated for the purpose of contact tracing. Collecting vaccine status will not be used to enforce mask-wearing at school, and parents and students are responsible for ensuring students’ adherence to masking requirements.
Health Monitoring, Vaccinations and Quarantine
  • Staying home when sick is one of the most effective ways to keep our community healthy. We are discontinuing use of the Magnus app for daily attestations, but expect you to ensure your child passes a self-screen daily before your child arrives to campus.
  • Temperature screening at School is discontinued.
  • If there is an exposure or a COVID-positive case in your family, immediately contact your child’s division head.
  • Students experiencing COVID-like symptoms will be sent home and required to stay home until their symptoms improve and they receive either a physician's clearance note or a negative COVID test, either rapid or PCR. This applies to both vaccinated and unvaccinated students.
  • The definition of close contact for K-12 settings has been loosened so that indoors a student who is within 3 to 6 feet of an infected student is not considered a close contact as long as both students are wearing masks. Thus, wearing masks helps prevent exposure and the need for quarantine, as well as preventing illness - and ultimately helps students attend school in person.
  • We will continue the use of our COVID-19 dashboard to monitor our community’s health, and the dashboard will be accessible to families in PawNet.
Buildings and Food Service
  • Upgraded air filtration systems and nightly sanitization remain in place.
  • Water bottle filling stations and hand sanitizer dispensers will still be used.
  • Full service lunch, café and afterschool snack bar will return. Lunch will be eaten in the cafeterias, outdoors, classrooms and other designated areas. The School will provide reusable carry-out containers to students who purchase lunch, and we will sanitize the containers between use.
Academics and Campus Life
  • We intend to offer our full array of academics, athletics, arts and extracurricular programs, with a return to normal as much as possible. In-person events, performances, games, as well as many gatherings and domestic field trips will resume. Specific mitigations are being determined. Athletic competition protocols will be determined in partnership with our leagues and communicated from the athletic department as those protocols become finalized.
  • There will be more opportunities for students to move throughout campus and for classes and cohorts to mix. Details will be shared by division.
  • We will optimize the use of outdoor spaces for learning, wellness, eating and recreation.
  • We look forward to having you on campus. Opportunities for our parents to visit and volunteer on campus will be shared by division.
Our detailed Pandemic Policies will soon be sent to you with the Family Handbook via DocuSign. The Handbook & Pandemic Policies Acknowledgement Form must be signed via DocuSign no later than Aug. 22, 2021. In addition, divisions will be sharing further plans by mid-August. If you have questions about either our general or division-specific protocols, please contact your division head:
We are very grateful for the opportunity to join together with our shared values of community, respect, excellence, love of learning, and honor. These timeless virtues served us so very well last year and allowed us to parat, ditat, durat, prepare, enrich and endure, especially with an ever-changing landscape. We will keep you informed of any changes. My colleagues and I are optimistic, and we eagerly anticipate seeing you and your children soon. May you be well and enjoy the final weeks of summer. Please do not hesitate to be in touch if there’s anything that I can do for you.

Sincerely,

Penny B. Evins
